Privacy Policy for Remote Talent

Effective 7 September 2026 · Version 1.0

Remote Talent matches Australian businesses with offshore virtual assistants. This policy explains what personal information we collect (from an enquiry form, a phone call, or simply by browsing our sites and ads) and how we handle it.

It applies to remotetalent.com.au, our campaign landing pages, and every enquiry channel we run, whether the contact happens online or offline. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By submitting an enquiry or continuing to use our sites, you agree to the practices described here.

1 Who we are

“Remote Talent”, “we”, “us” and “our” means Remote Talent Pty Ltd (ABN 95 685 450 186), an Australian recruitment and staffing company that places offshore virtual assistants, primarily in the Philippines and South Africa, with Australian businesses. We are the entity responsible for the personal information collected through our sites, ads and enquiry channels.

You can reach our Privacy Officer any time using the details in section 12.

2 Information we collect

We only collect personal information we reasonably need to answer your enquiry, provide our services and run our business. It falls into three groups.

a. Information you give us: lead submissions (online)

When you complete a “get started”, contact or booking form on our website or an ad landing page, we collect the details you enter:

WhatExamples
Your nameFirst and last name (or full name)
Contact detailsEmail address, phone number
BusinessCompany / organisation name, the role or hours you need
Your messageAnything you type in a notes or enquiry field

b. Information you give us: offline

The same kinds of personal information reach us away from a form, and we treat it the same way:

  • Phone calls to or from our team (including on 1300 009 347), we may keep notes and, where the law allows and you are told at the start of the call, call recordings for quality and training.
  • Emails, SMS and messaging you send us, and their contents.
  • Consultations and meetings (including video calls): notes, and recordings or transcripts where you have been informed and, where required, have consented.
  • Referrals and events: details you or a mutual contact share with us.

c. Information we collect automatically

When you visit our sites or interact with our ads, some information is collected by your browser and our tools:

  • Device & connection: IP address, approximate location, browser and operating system, device type.
  • Usage: the pages you view, links you click, time on page, and how you scroll and move through a page.
  • Source & campaign: the page you landed on, the site that referred you, and advertising identifiers such as UTM tags and the Google click id (gclid) so we can tell which ad or campaign brought you here.
  • Cookies & similar technologies: see sections 3 and 7.

3 Website tracking, analytics & session recording

We use industry-standard tools to understand how people find and use our sites so we can measure our advertising and improve the experience. These run through Google Tag Manager (container GTM-5LS7VF4B), which loads the tools below.

  • Analytics: Google Analytics (GA4) measures traffic, page performance and conversions in aggregate.
  • Advertising & conversion tracking: Google Ads (and, where we advertise on them, Meta (Facebook and Instagram) and TikTok) use tags and pixels to measure ad performance, attribute enquiries to campaigns, and show relevant ads (remarketing).
  • Session recording & heatmaps: we use session-replay tools (for example Microsoft Clarity) that record how visitors interact with a page (mouse movements, clicks, scrolling and the pages viewed) and combine them into anonymised heatmaps and playbacks.

About session recording

Session recordings capture how you use a page, not who you are. They are pseudonymous and are used to fix usability problems and improve our pages. Our tools are configured to mask personal input (such as anything typed into form fields) so the content of what you type is not captured in the replay. We do not use session recordings to build a profile of you as an individual, and we do not sell them.

You can control or opt out of this tracking: see section 7.

4 How we use your information

We use the personal information we collect to:

  • respond to your enquiry, send you matched virtual-assistant candidates, and provide our staffing services;
  • contact you by phone, email or SMS about your enquiry and (where you would reasonably expect it or have opted in) about related services;
  • measure and improve our website, landing pages and advertising, including through the analytics and session-recording tools in section 3;
  • run our business: billing, record-keeping, and managing our relationship with you; and
  • meet our legal, tax and regulatory obligations, and protect our rights and the safety of others.

Where the law requires your consent (for example, some direct marketing or non-essential cookies), we rely on the consent you give and you can withdraw it at any time.

5 When we disclose your information

We do not sell your personal information. We share it only as needed to run our service, and with parties who are bound to protect it:

  • Our team and virtual assistants: including offshore staff who help deliver your service (see section 6).
  • Service providers: the platforms that run our business, such as our CRM and hosting, communications (email, telephony/SMS), analytics and advertising partners (Google, Meta, TikTok), accounting (Xero) and payments (Wise). They may only use the information to provide their service to us.
  • Professional advisers: such as our accountants or lawyers, where reasonably required.
  • Legal & safety: where we are required or authorised by law, or to protect our rights, property or safety, or that of others.
  • Business transfers: if we restructure, merge or sell part of our business, in which case your information may be transferred under equivalent protections.

6 Overseas disclosure

Because we place offshore virtual assistants and use global technology providers, some of your personal information may be accessed from or stored in countries outside Australia, including the Philippines and South Africa (where our VAs are based) and other countries where our service providers operate (such as the United States).

When we disclose personal information overseas we take reasonable steps, as required by Australian Privacy Principle 8, to ensure it is handled consistently with this policy and the APPs, for example through contractual protections with the parties who receive it.

7 Cookies & your choices

Cookies are small files stored on your device. We use:

  • Necessary cookies: required for the site to work.
  • Analytics cookies: to understand and improve how the site is used (section 3).
  • Advertising cookies: to measure ads and show relevant ones.

You have choices about this tracking:

  • Cookie banner: where shown, you can accept or decline non-essential cookies.
  • Your browser: you can block or delete cookies, though some parts of the site may not work as well.
  • Google: opt out of personalised Google ads via My Ad Center and Google Analytics via the GA opt-out add-on.
  • Meta & TikTok: adjust ad preferences in your account settings on each platform.
  • Session recording: declining analytics/advertising cookies also stops session-replay collection.

8 Storage, security & retention

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including access controls, encryption of credentials, and trusted hosting providers. No system is perfectly secure, so we cannot guarantee absolute security.

We keep personal information only for as long as we need it for the purposes above, and to meet legal and tax obligations. Financial records, for example, are generally retained for up to seven years. When information is no longer needed, we take reasonable steps to de-identify or securely destroy it.

9 Your rights

Under the Privacy Act you may, subject to some exceptions:

  • access the personal information we hold about you;
  • correct it if it is inaccurate, out of date or incomplete;
  • opt out of direct marketing at any time (every marketing message includes an unsubscribe); and
  • complain if you think we have mishandled your information.

To make a request, contact our Privacy Officer (section 12). We will respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.

10 Children’s privacy

Our services and sites are intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has given us their information, please contact us and we will delete it.

11 Changes to this policy

We may update this policy from time to time to reflect changes in our practices or the law. The current version is always published at this address, with the effective date shown at the top. Significant changes will be made clear on this page.
